
Viewings
Appointments to view any studio should be emailed to info@conceptlondon.co.uk or you can call our office on +44 20 7229 1011. When requesting an appointment, clients should be as detailed as possible in their requirements. We will need to know:
• your weekly budget,
• your intended move in date
• how many people you require accommodation
• the length of your stay
If a suitable studio is available we will arrange to meet the client at the property at a convenient time. Viewings times are usually available from Monday to Friday from 11h00 to 19h00 and Saturdays from 12h00 to 18h00.
Reserving an Apartment / Holding Deposits:
Once a Studio has been viewed and you wish to reserve the studio for rental, you will be required to pay a Holding Deposit equal to two weeks rent. The Holding Deposit will be used as a credit payment towards the 1st month's rent. The Holding Deposit is non-refundable should the client decide to withdraw their application to rent an apartment.
Tenant References:
Tenants will be required to provide the following:
• one written reference (current employer, current university or college acceptance letter, previous landlord reference)
• copy of their identification (passport or drivers licence).
Length of Tenancy (Long Lets):
The initial tenancy length is a fixed 6 month period. Tenants are required to sign an Assured Shorthold Tenancy Agreement, after the end of the initial 6 month term tenants may request a Renewal Tenancy Agreement. There is a £50 contract fee which will be paid at the beginning of the tenancy. Before issuing a Renewal Tenancy Agreement the agent will need to conduct a apartment renewal inspection to confirm that the apartment is being kept in a clean and well maintained condition.(please see renewal tenancy agreements below)
Length of Tenancy (Medium Lets):
We can offer tenants medium lets (minimum 90 days) at certain properties in the portfolio. Medium lets are subject to availability.
Rent Payment:
Rents are calculated per calendar month (weekly rent multiplied by 52 weeks divided by 12 months).
All rent is paid monthly in advance on the 1st of each calendar month via bank standing order or can be paid in cash at our office.
When a tenancy does not begin on the 1st of a calendar month, the initial rent in advance will be calculated pro rata from the commencement date of the tenancy until the end of the initial month. If a Tenancy begins after the 14th day of the calendar month the rent in advance will be equal to the remaining days of the 1st month of the tenancy plus the 2nd months rent.
Security Deposit:
Tenants will be required to pay a security deposit which is held for the full duration of the tenancy. The security deposit required is equivalent to one calendar month rent. The deposit, less any charges incurred, will be returned to the tenant after the apartment has been vacated and inspected by the managing agents. Deposits cannot be arranged for the same day as the departure date and cannot be returned in cash. Deposits are returned within 10 working days of check out either via UK Bank Cheque or wire transfer to a UK Bank Account.

Inventory Check-in Report:
Each new tenant will be issued with Apartment Condition Check-in Inventory Report. The tenant will have 7 working days to go through the report and make any changes or additions. This report will be used as the condition report at the end of the tenancy when the check out inspection takes place. The report fee is £50 and will be paid at the beginning of the tenancy.
Quarterly Apartment Inspections:
Each apartment is inspected on a quarterly basis to help management ensure that all our apartments are maintained properly and to identify any potential maintenance issues that may arise.Tenants will be informed via email when their apartment is due for inspection after which a convenient inspection time will be agreed.
Extending/Terminating the Tenancy:
6 weeks prior to a tenancy ending the tenant will be sent an email enquiring whether the tenant wishes to request a renewal tenancy agreement or whether they will be vacating on the final day of the initial tenancy agreement. If a tenant would like to confirm their vacation date or request a renewal tenancy agreement before the final 6 weeks of their tenancy they may email their request to info@conceptlondon.co.uk.
Renewal Tenancy Agreements:
If a tenant confirms that they would like to renew their tenancy the managing agent will arrange a renewal apartment inspection to confirm that the apartment is being kept in a clean and well maintained condition. Once a Renewal Tenancy Agreement has been agreed between the tenant and landlord a new 6 month renewal contract will be issued. Tenants requiring flexibility can request a Renewal Break Clause Tenancy Agreement with a 1 months written break clause notice. With this option a surcharge of £15 per week will be added to agreed weekly rental. To terminate the Renewal Break Clause Tenancy Agreement before the 6 month end date, tenants will be required to provide at least 1 months written notice to the managing agent.
Check Out:
Once a check out date has been agreed with the managing agent, tenants will be emailed a leaving form with check out instructions. On this form they will provide a forwarding address.
On the check out date tenants are required to meet the Managing Agent no later than 18h00 to hand over the leaving note, apartment keys and do the final studio check out inspection.
Cleaning:
It is the tenant’s responsibility to ensure the studio is left in a satisfactory condition upon check out. The Managing Agents will arrange for a professional end of tenancy clean, the cost of which is to be deducted from the tenant’s deposit.
End of Tenancy Cleaning is charged at £80 for studios and £100 for 1 bedroom apartments
Apartments found to be in a very dirty and unsatisfactory state and will be subject to additional cleaning charges.
Keys:
Tenants will be issued with two sets of keys to their apartment. The keys used in our buildings are on a unique security key system and any additional keys can only be cut by an authorised representative.
Lost or stolen keys can be replaced at a cost of £25 per key. If you lock yourself out or require assistance to gain access to your studio there is a £50 call out charge. Out of hours assistance (18:00 – 08:00), is subject to a member of staff being available. If keys are not returned upon vacating the studio, the Managing Agents will replace the locks to the studio at a cost of £150, this will be charged from the tenant’s deposit.
Laundry Facilities:
All our buildings (except West End Lane NW6) have communal coin-operated laundry machines, charged at the following rates:
Washing costs £2.00 per cycle.
Tumble drying costs £1.00 per 40 minute cycle.
Fire Safety:
Each studio is fitted with a smoke detector, a heat detector, and an alarm sounder which are connected directly to an electronic fire alarm panel located at the building’s entrance. The fire alarm is maintained by a certified Fire Maintenance Company in accordance with current Health and Safety Regulations.
Fire Doors – All doors within the building are fire proof and self-closing, and should be kept shut at all times in accordance with current Health and Safety Regulations.
Smoking:
All our apartments are strictly non smoking. If upon vacating it is evident that tenants have been smoking, management will arrange to have the studio repainted. The cost of repainting will be invoiced against the tenant’s security deposit
Maintenance and Repairs:
It is the tenant’s responsibility to maintain the general upkeep of their studio. However any serious maintenance issues should be reported to the Management who will arrange for the necessary repairs.
Maintenance requests should be emailed to info@conceptlondon.co.uk, the management will endeavour to respond to all maintenance requests within 48 hours. Upon check-in tenants are given an emergency mobile contact number for out of hour maintenance emergencies.
Insurance:
All our buildings are covered by an Insurance Policy which insures against damage to the building resulting from natural disasters and terrorism. The insurance policies do not cover personal possessions and it is recommended that tenants take out their own contents insurance or have travel insurance in place.
Administration Charges:
Written References can be provided by the managing agents at a cost of £15 per reference letter.
Bank Charges:
All international bank transfers will incur a £10 surcharge to cover our bank charges.
