Long Term Letting Terms

Length of Tenancy:
The initial tenancy term is a fixed 6 month period. Tenants are required to sign an Assured Shorthold Tenancy Agreement, after the end of the initial 6 month term tenants may continue their tenancy by signing a Renewal Tenancy Agreement.

Rent Payment:
Rents are calculated per calendar month (weekly rent multiplied by 52 weeks divided by 12 months).
All rent is paid monthly in advance on the 1st of each calendar month.
Where a tenancy does not begin on the 1st of a calendar month, the initial rent in advance will be calculated pro rata from the commencement date of the tenancy until the end of the initial month.

Security Deposit:
Tenants will be required to pay a security deposit which is held for the full duration of the tenancy. The security deposit required is equivalent to one calendar month rent. The deposit, less any charges incurred, will be returned to the tenant after the studio has been vacated and inspected by the managing agents. Deposits cannot be arranged for the same day as the departure date and cannot be returned in cash. Deposits are returned within 10 working days of check out either via UK Bank Cheque or wire transfer to a UK Bank Account.
In the unlikely event of a tenant terminating their contract before the agreed contractual end date, the entire security deposit will be forfeited.

Extending/Terminating the Tenancy:
No less than one month prior to the expiration of the initial 6 month Assured Shorthold Tenancy Agreement tenants are required to notify the Managing Agent in writing whether they intend to:
Vacate the property on the expiration date of the Assured Shorthold Tenancy Agreement.
Or
Request a Renewal Tenancy Agreement.

Upon receiving written confirmation to end a tenancy the Managing Agent will send an email to the tenant confirming the moving out date and check out procedure.

Renewal Contracts:
Renewal contracts are printed for a further 6 month period. A renewal contract may be terminated prior to the stated termination date by giving 1 month’s written notice to the managing agent.

Check Out:
Once a check out date has been agreed with the managing agent, you will be emailed a leaving form. On this form you will provide a forwarding address and bank details that will be used for the return of the security deposit.
On the check out date tenants are required to meet the Managing Agent no later than 14h00 to hand over the leaving note, apartment keys and do the final studio check out inspection. Should the tenant require a later appointment to check out an additional night’s rent will be deducted from the security deposit.

Cleaning:
It is the tenant’s responsibility to ensure the studio is left in a satisfactory condition upon check out. The Managing Agents will arrange for a professional end of tenancy clean, the cost of which is to be deducted from the tenant’s deposit.
End of Tenancy Cleaning is charged at £65.00+VAT.
Studios found to be in a very dirty and unsatisfactory state and will be subject to additional cleaning charges.

Medium Term Letting Terms

Length of tenancy:
The initial tenancy term will be a minimum stay of 90 nights with a moving out date to be agreed prior to commencement of the tenancy (usually no more than 180 nights) . Tenants will be required to sign Short Term Tenancy Agreement to cover the agreed rental period.

Extending the tenancy:
To extend the tenancy beyond the initial agreed rental period, tenants may request an extension no less than three weeks prior to the contractual end date of the initial agreement. Extension requests are to be sent to the following address info@conceptlondon.co.uk and are subject to availability.

The deposit, less any charges incurred, will be returned to the tenant after the studio has been vacated and inspected by the managing agents. Deposits cannot be arranged for the same day as the departure date and cannot be returned in cash.
Deposits are returned within 10 working days of check out either via UK Bank Cheque, or transfer to a UK Bank Account.
In the unlikely event of a tenant terminating their agreement prior to the agreed contractual end date, the entire security deposit will be forfeited.

Short Term Letting Terms

Length of tenancy:
A minimum stay of 7 nights applies to all bookings. Tenants will be required to sign a Licence Agreement to cover the agreed rental period.

Security Reservation Deposit:
To proceed with a reservation we will require a £300.00 Security Reservation Deposit.
This deposit will be held as security for the full duration of your stay against any extra charges and unlikely damages.
PLEASE NOTE A BOOKING WILL NOT BE CONFIRMED UNTIL WE HAVE PROCESSED THE AGREED RESERVATION DEPOSIT.
After the client has vacated, we will inspect the studio and refund the deposit within 72 hours of departure (subject to no charges deemed necessary).

Rent Payment:
The full rental charges for the entire stay will be due upon arrival. Guests will not be handed keys until the full amount is settled. Rent may be paid in cash, credit card (subject to a 2.5% handling fee), travellers cheques or bank transfer (to reach managing agent prior to arrival).

Extending the length of Stay:
Should guests wish to extend their stay beyond the initial departure date, they will need to notify the management at least 14 days prior to their leaving date to ensure that we can extend their stay. Extensions can only be arranged subject to availability.

Cancellation Policy:
To cancel or amend confirmed reservations we will require written notice of no less then 21 days prior to you confirmed arrival date any such cancellations will incur a £150+VAT administration charge.
Any cancellations made with less then 21 days written notice will result in forfeiture of the entire reservation deposit.

End of tenancy cleaning:
Upon departure clients will be charged £40+VAT as an end of tenancy cleaning fee.
This fee can be paid in cash or will be deducted from the security deposit.

General Terms

Viewings:
Appointments to view any studio should be emailed to info@conceptlondon.co.uk or call our office on 020 7229 1011. When requesting an appointment clients should be as detailed as possible in their requirements. If a suitable studio is available we will arrange to meet the client at the property at a convenient time. Viewings times are usually available from Monday to Friday from 11h00 to 19h00 and Saturdays from 12h00 to 18h00.

Holding Deposits (Long and Medium Term Lettings):
Once a Studio has been viewed and the client wishes to reserve the studio for rental, the client will be required to pay a Holding Deposit equal to two weeks rent. The Holding Deposit will be used as a payment towards the Security Deposit due when moving in. The Holding Deposit is non-refundable should the client decide to withdraw their application to rent the studio.

Tenant References:
Tenants will be required to provide the following:
one written reference (current employer, current university or college, previous landlord),
copy of their identification (passport or drivers licence).

Keys:
Tenants will be issued with two sets of keys for their studio. The keys used in our buildings are on a unique master system and any additional keys required will need to be ordered.
Lost or stolen keys can be replaced at a cost of £50 +VAT per key. If you lock yourself out or require assistance to gain access to your studio there is a £100.00+VAT call out charge. Out of hours assistance (18:00 – 08:00), is subject to a member of staff being available. If keys are not returned upon vacating the studio, the Managing Agents will replace the locks to the studio at a cost of £150.00+VAT, this will be charged from the tenant’s deposit.

Laundry Facilities:
Most of the buildings have communal coin-operated laundry machines, charged at the following rates:
Washing costs £2.00 per cycle.
Tumble drying costs £1.00 per half hour cycle.

Fire Safety:
Each studio is fitted with a smoke detector, a heat detector, and an alarm sounder which are connected directly to a fire alarm panel located at the building’s entrance. The fire alarm is maintained by a certified Fire Maintenance Company in accordance with current Health and Safety Regulations.
Fire Doors – All doors within the building are fire proof and self-closing, and should be kept shut at all times in accordance with current Health and Safety Regulations.

Smoking:
All our studios are strictly non smoking if, upon vacating it is evident that tenants have been smoking, management will arrange to have the studio repainted. The cost of repainting will be invoiced against the tenant’s security deposit

Maintenance and Repairs:
It is the tenant’s responsibility to maintain the general upkeep of their studio. However any serious maintenance issues should be reported to the Management who will arrange for the necessary repairs.
Maintenance requests should be emailed to info@conceptlondon.co.uk, the management will endeavour to respond to all maintenance requests within 48 hours. Upon check-in tenants are given an emergency mobile contact number for out of hour maintenance emergencies.

Insurance:           
All our buildings are covered by an Insurance Policy which insures against damage to the building resulting from natural disasters and terrorism. The insurance policies do not cover personal possessions and it is recommended that tenants take out their own contents insurance or have travel insurance in place. 

Bank Charges:
We accept VISA, Mastercard and all Debit Cards. All credit card transactions are subject to a 2.5% card handling fee. Any international money transfers will incur a £15.00 administration charge.

Administration Charges:
Tenancy Agreements – All tenancy agreements issued are subject to a £15.00 + VAT administration fee.
Written References – References provided by the managing agents at a cost £10.00 + VAT per reference.
